How a client books, in four steps
They open your business’s booking page, pick a service from the price list, then the day and a free time, leave their details and confirm. They’re left with a booking code on screen; you’re left with the appointment in your calendar.
- 1. The service From your price list, with name, duration and price. Only the services you’ve chosen to open online appear.
- 2. The day and time Only the times when that service genuinely fits are shown, from the first minute to the last.
- 3. The details First name, surname, email, phone and, if needed, a note: ‘first visit’, ‘very long hair’.
- 4. The confirmation One tap, and the booking code appears on screen. No account to create, no app to download.
The software works out the free times, not you
A time only appears if the business is open at that moment, if it isn’t a closing day, if the chosen service finishes before you close and if you still have a free place. They’re the questions you run through in your head today every time you answer the phone.
To decide, the software looks at five things:
- the opening hours you’ve set in Settings, slot by slot;
- closures: holidays, public holidays, the day of the training course;
- the length of the service: a ninety-minute colour isn’t offered at 6.30pm if you close at 7;
- the appointments already in the calendar, booked online or entered by you;
- how many people you can see at the same time: the chairs, the treatment rooms, the trainers.
The database does the final check again at the moment of confirmation. If two people try to take the last 10 o’clock place in the same second, only one gets through, and the other is told that the time is no longer free.
You set the rules
The booking page only does what you allow it to. The rules live in Settings, in the online booking section, together with your opening hours, closures, the QR code and the code to paste into your website, and you can change them whenever you like.
| Rule | What you choose | What it’s for |
|---|---|---|
| Online booking | On or off | For the weeks when you’d rather take appointments only in person. |
| Confirmation | Automatic, or by you | Automatic: the appointment is confirmed straight away. By you: it arrives waiting for confirmation, and you decide. |
| Minimum notice | For example, at least two hours ahead | Nobody books a blow-dry for ten minutes’ time while your salon is full. |
| How far ahead | For example, up to 60 days | The calendar for the coming months stays open as far as you want, and no further. |
| Bookable services | A switch for every service | A cut can be booked on its own; the colour that needs discussing first can’t. |
| Clients at the same time | How many chairs, rooms or trainers you have | With two chairs, two clients at the same time is normal; with one, it isn’t. |
The appointment arrives in the calendar, with the client’s record
What a client books online ends up in the same calendar as the appointments taken by phone, labelled ‘Online’ so you can tell. There isn’t one diary for the web and another for the front desk.
The client’s record creates itself. If they’d booked before, or you’d already added them, LyamFlow recognises them by email or phone number and links the appointment to the existing record: no duplicates, and the name you’d written stays as it was. The number is recognised even when written differently: +41 79 and 079 are the same.
Appointments you take by phone hold the place for online bookings too, from the moment you enter them. There’s only one register.
Where your clients find it
- An address of your own The page has its own address, like lyamflow.com/r/salone-aurora/prenota: it goes on your Google profile, in your social media bio and in your email signature.
- Inside the website you already have The booking form goes into your pages with a snippet of code you copy from the software. For editors that don’t accept scripts there’s the frame on its own, or a simple button.
- With the QR code In the window, on your business card, by the till: anyone who scans it goes straight to the booking page.
Behind the page, the software for your trade
Online booking is part of LyamFlow’s management software, not a product of its own. Behind it are the tools you need when you work by appointment, each in the language of its trade: clients and packages for the hairdresser, members and memberships for the gym, patients and courses of treatment for the physiotherapist.
- Client records Contact details, notes, the history of appointments and spending. Birthdays, where it makes sense, for greetings.
- Calendar The day as it really is: who’s coming, at what time, for which service.
- Price list Services with duration and price, and the products you sell at the counter.
- Packages and memberships Ten sessions, twelve lessons: the sessions used count themselves, with every linked appointment.
- Payments and invoices Recorded takings, and PDF invoices with the Swiss QR-bill at the bottom of the page.
- Staff and permissions A login for each person who works with you, and for each, the sections they can see.
- Software that adapts Sections can be switched on and off, renamed and reordered; and if something’s missing, like a product inventory, you create it.
- In four languages Italian, German, French and English: everyone who works with you picks their own.
Who it’s designed for
For anyone who sells a set amount of time: a half-hour cut, a fifty-minute treatment, a one-hour individual session. In practice:
- hairdressers and barbers, with the real lengths of cuts, colours and beards;
- beauticians, wellness centres and massage therapists, with treatments and session packages;
- personal trainers, gyms, yoga and pilates for one-to-one sessions, with memberships that count down on their own;
- and also physiotherapists, dental practices, pet groomers, vets and professional firms, each with their own software and their own words.
What it doesn’t do today
Better to know before the trial than after.
- It doesn’t send automatic reminders, by email or by text, and it doesn’t send a confirmation email: the confirmation is what the client sees on screen, with their code.
- It doesn’t take payment at the time of booking: clients pay you on the day of the appointment.
- It doesn’t let clients choose a staff member: they choose the service and the time, and you decide who sees them.
- It doesn’t handle a timetable of group classes, like Tuesday’s 7pm yoga with twelve places: it’s made for individual appointments.
- It doesn’t sync with Google Calendar or other external calendars: the software’s own calendar decides the free times.
What it costs
- 14 days full trial Everything switched on, no credit card: you try the booking page with real appointments, not made-up data.
- CHF 29.90 / month Basic plan One business, with online booking and all of the management software: clients, calendar, price list, packages, payments, staff.
- CHF 79.90 / month Pro plan Up to five businesses and five websites from the same account, each with its own booking page.
No fee per appointment and no percentage of your takings: what you pay doesn’t depend on how many people book. Amounts are in Swiss francs.
Frequently asked questions
Do clients have to download an app or sign up?
No. The page opens in the browser on a phone or computer, and to book all they need is their first name, surname, email and phone. No account, no password to remember.
Can I keep taking appointments by phone?
Of course. You enter them in the calendar, and from that moment they hold the place for online bookings too. Both routes end up in the same register.
And if a client needs to move or cancel?
They call or write to you, give you the code they saw when they confirmed, and you move or cancel the appointment from the calendar. Today they can’t do it themselves from the page.
Will it fill my diary with appointments I don’t want?
Only if you let it. You can open just the simple services online, have every appointment go through you before it’s confirmed, and decide how much notice is needed and how far ahead people can book.
Does it work for a physiotherapist or a practice too?
Yes: their software has the calendar, the list of treatments with durations and online booking too. It isn’t a medical record system, though: it’s the diary, the patient list, what was done and what was paid.
Do I need a website to use it?
No. The booking page has its own address and works on its own. If you have a website, you paste the form into it; if you don’t, you can build one free with LyamFlow.
